AI Meeting Notetaker (Microsoft 365)

The Microsoft 365 version of the AI Meeting Notetaker. When a meeting lands on your Outlook calendar, a notetaker bot joins the Teams (or Zoom) call and records it. The moment the meeting ends, AI turns the speaker-labeled transcript into a summary, decisions, and owned action items — emailed via Outlook and posted to Slack automatically. The transcript is a workflow trigger: extend the template to log calls to your CRM, create tasks, or draft the follow-up.

How it works

Join

The Outlook trigger (Calendar Event mode) spots new meetings on your Microsoft 365 calendar and dispatches a Recall.ai notetaker bot to the Teams join link, scheduled for the start time.

Transcribe

The bot records the call and captures a speaker-labeled transcript. When the recording is processed, the Meeting Ended trigger fires with the full transcript.

Deliver

An AI Prompt node writes the summary, decisions, and action items with owners — then emails them via Outlook and posts them to Slack.

Frequently asked questions

Does it only work with Teams meetings?

No — the trigger exposes the meeting link from native Teams meetings and also detects Zoom or Meet links pasted into the event location or body, so mixed-platform calendars work.

Do I need a Recall.ai account?

Yes — the notetaker runs on Recall.ai (BYOK). Add your API key as a credential and point a Recall webhook at Falcon; the credential form walks you through it.

We use Google Workspace, not Microsoft.
